Dear Mr. Green,

My secretary tells me you contacted our office yesterday with concerns about the safety of your football field. Could you possibly tell me what exactly your concerns are? I would be happy to visit the stadium and evaluate the sports field in terms of playability and safety at your convenience. Please feel free to call and make an appointment.

After I assess the field, I will submit a proposal of action outlining the problems and possible solutions. I will also give a breakdown of what my solutions would cost and how much time it would take to implement them.

Then we can discuss the proposal and agree on a course of action. The final step will involve drawing up a contract agreement.
